Signatures and snippets

Your signature goes under everything you send. Snippets are words you write again and again, like how refunds work or your opening hours, ready to put in any email.

Save your signature

  1. Go to Settings, then Just me.
  2. Under Signatures, click Add a signature.
  3. Give it a Name for the list, like "Short" or "Sales".
  4. In Use it for, leave Any inbox, or pick one inbox it's only for.
  5. Write the Signature. Each line shows as you write it.
  6. Click Save signature.

Your first signature for any inbox is your default. Tick Make it my default on another one to switch.

Which signature goes out

When you send, Rookery adds:

  • the signature you made for the inbox it's from, if there is one,
  • otherwise your default,
  • otherwise your name and the inbox's name, as before.

New email shows the signature under your words, so you see what goes. Change From, and it changes too.

Make a snippet

  1. Go to Settings, then Just me.
  2. Under Snippets, click Add a snippet.
  3. Give it a Name. That's what you type after / to find it.
  4. Write the Words. You can use these fields, filled in from who the email is to:
    • {first_name}, {last_name} and {name}: their names
    • {email}: their address
    • {company}: their company
    • {my_name} and {my_first_name}: your names
  5. Tick Share with the team so everyone can use it, or leave it just for you.
  6. Click Save snippet.

Put a snippet in an email

  1. In a new email or a reply, type / and a word from the snippet's name, like /refund. Type /snippet to see them all.
  2. Press Enter, or click it.

The words go in where your cursor is, with the fields filled in. If Rookery doesn't know something, like their company, that field becomes a grey blank, and the email can't be sent until you fill it in.

Good to know

  • Signatures and snippets are plain text: no bold or links yet.
  • Your signatures are yours. Nobody else sees them, and they don't go on your teammates' email.
  • A shared snippet can be changed by whoever made it, or by an owner or admin. Only its maker can make it private again.
  • Changing a snippet doesn't change emails you already wrote with it.
