Your calendar
Calendar shows your own time: bookings, invites you accepted, times you offered in an email, trips, events you made, and busy time from the calendars you added. Open it from the sidebar, or press g then a.
Pick a view
Switch views with the buttons under the title, or with a key:
- Agenda (
a): today first, then each day with something on. It's where Calendar opens on a phone. - Day (
d): one day as a line of time, with the hours outside your working hours folded away. - Week (
w): seven days side by side over the hours of your working day, each meeting at its real time and length. It's where Calendar opens on a computer. - Month (
m): a look ahead, with each day's meetings by title, in time order. On a phone it's the month with a dot on each day that has something, and that day's list underneath.
Calendar remembers the view you last picked on each device. Use ‹ and › (or ← and →) to go to the previous or next day, week or month, and Today (t) to come back.
The line across today is Now. Holds are dashed, busy time from your other calendars is grey, and what's already over is in lighter type. Each one also says so in words, so you never have to rely on colour.
What needs you this week
At the top of Agenda, a short card lists what the calendar is waiting on you for in the next seven days:
- times you offered that nobody has picked, while their hold is about to end;
- someone asking for a time on a booking link that needs your yes;
- an invite you haven't answered;
- a promise you made in your own email that's due, or already late.
It shows two at a time. Tap and 3 more for the rest. Each line opens its conversation.
Free time
Between meetings, Agenda names the free time in your working hours, like Free 10 am–2 pm, when it's 30 minutes or more. Your working hours are in Settings → Calendar. Earlier above today shows the week before, and Show next week at the end adds a week.
Open a meeting
Click or tap anything on the calendar to open its panel: beside the calendar on a wide screen, or as a sheet on a phone. It shows:
- when it is in your time, and in theirs when they're somewhere else;
- who it's with, and where;
- Join the call when it has a video link;
- Open the conversation, when its conversation is in an inbox you can open;
- the prep card and your notes, for a meeting with a conversation (see Before and after a meeting).
Press Esc or Close to put it away. You go back to the meeting you opened it from.
Show and Calendars
On a wide screen, the column on the left has a small month to jump to any day, then two lists:
- Show: untick Meetings and bookings, Times you offered or Trips to hide them. The numbers say how many there are in what you're looking at.
- Calendars: Rookery is always shown. Untick another calendar you added to hide its busy time. Add a calendar you use opens Settings → Calendar.
On a phone, tap Show at the top for the same lists. What you untick stays hidden on every device and in every view. Hiding something doesn't free its time: booking pages and free time still count it.
Make an event
- Tap New event, or press
n. - Type what it is.
- Pick the day: tap Today, Tomorrow or Next Mon, or pick one on the month. With the keyboard, the arrow keys move a day or a week,
Page UpandPage Downmove a month, andEnterpicks. - Type when it starts, like
9:30or4pm, and tap how long it is. Or tick All day. - Add where, if you like, and tap Add to calendar.
Only you see it. Teammates see the time as busy, and nobody is invited or emailed. An all-day event doesn't stop anyone booking you. To remove an event you made, open it and tap Delete event, then Delete.
Who sees what
- Your calendar is yours. Teammates, including owners and admins, never see what's on it: they only ever see that you're busy.
- A meeting whose conversation is in an inbox you can't open still shows, but without its conversation, the person in it or the email's subject.
- Busy time from your other calendars shows its titles only to you, and only if you chose that in Settings → Calendar.
Good to know
- Times are in your own time zone. The line under the views says which, with a link to change it.
- When you set a day elsewhere in Rookery, like when documents are due, its calendar button opens the same month, with quick picks and the same keys.
- All the keys are in Jump anywhere with ⌘K, and other shortcuts, and in Rookery when you press
?.
