1The agreement#

Scout: In short: By using Rookery, you agree to these terms. If you sign up for a business, you're agreeing for it.

These terms are an agreement between you and Rookery ("we", "us"). Rookery is run by the team behind userookery.com. Write to us at hello@userookery.com. They cover the Rookery app, the website at userookery.com, the upload and secure-message pages people outside your workspace use, and Rookery's API and MCP server (together, the "Service").

By creating an account, joining a workspace or using the Service, you agree to these terms and to our Privacy policy. If you use the Service for an organisation, you confirm that you can bind it, and "you" means the organisation too.

You must be at least 16, and old enough to make a binding contract where you live. The Service is not for children.

2Accounts and workspaces#

In shortA workspace has owners, admins and members. Owners and admins decide the settings; everyone keeps their own sign-in safe.

The Service is organised into workspaces. Each workspace has one or more owners, may have admins, and has members. Owners and admins manage the workspace: who belongs to it, its domain and inboxes, what the helpers may do on their own, and its API keys. The workspace's owners are responsible for the people they invite and for the workspace's settings.

You sign in with a passkey. Other people join a workspace through an invitation from its owners or admins. Keep your devices and sign-in methods secure, and tell us straight away at hello@userookery.com if you think someone else has used your account. You're responsible for what happens under your account, except where it's caused by our failure.

Give us accurate details, and keep them up to date.

3Early access#

Quill: In short: Rookery is in early access. We're building it with you, so some parts will change and a few aren't here yet.

The Service is in early access. Features may change, be renamed or be removed, and some features described on our website are marked "Coming soon" because they aren't available yet. We'll tell you about changes that matter to how you work.

During early access, the Service is provided "as is" and "as available". We work hard to keep it running and your data safe, but we don't promise that it will be uninterrupted, error-free or fit for a particular purpose. Keep your own copies of anything you can't afford to lose.

4Plans, trials and billing#

In shortEvery plan starts with a 14-day free trial and no card. Billing isn't switched on yet; when it is, these rules apply.

Plans and prices are listed on our pricing page in US dollars, excluding tax. Tax is added at checkout where it applies.

Each plan starts with a 14-day free trial. We don't ask for a card to start a trial. At the end of a trial, you choose a plan to keep using the Service.

Billing isn't live during early access. When it starts:

  • paid plans are billed in advance, monthly or yearly, through Stripe, our payment processor. Stripe handles your card details; we never see or store full card numbers;
  • plans renew automatically until you cancel, and you can cancel at any time from your settings, effective at the end of the period you've paid for;
  • we'll tell you at least 30 days before a price change takes effect for you. Founding members keep their price for as long as they stay, as promised when they joined;
  • fees are non-refundable except where the law requires otherwise, or where we say so in writing.

5Fair use#

Fetch: In short: Normal use is unlimited. If an account sends far beyond a busy team's volume, we'll talk to you first.

Your plan includes the helpers, with no per-message or per-reply charges. Normal use is unlimited.

The Service has technical limits, including limits on how much mail can be sent in a period and how often the API can be called, which protect the Service and other customers. If an account's use is far beyond a busy team's volume, or puts the Service at risk, we'll contact you first to agree a way forward, except where we must act straight away to protect the Service (see Acceptable use).

6Acceptable use#

In shortUse Rookery for real conversations. No spam, no bought lists, no phishing or malware, nothing illegal or abusive.

Email only works when people can trust it. You agree not to use the Service, or let anyone use it, to:

  • send spam, bulk unsolicited mail, or mail to purchased, rented or scraped lists;
  • send commercial mail that breaks anti-spam laws such as CAN-SPAM, CASL or the rules that apply where the recipient lives, including by hiding who you are or ignoring unsubscribe requests;
  • send phishing, malware or anything designed to deceive people into handing over money, passwords or data;
  • harass, threaten, or abuse anyone, or send content that's illegal where you or the recipient are;
  • infringe anyone's intellectual property or privacy;
  • try to make the helpers break these rules, get around their safety checks, or extract other people's data through them;
  • get around sending or rate limits, probe or attack the Service, or access it except through the interfaces we provide;
  • resell the Service without our written agreement.

To protect deliverability and other customers, we may limit or pause sending from a workspace, or suspend an account, if we reasonably believe these rules are being broken or a mailbox has been compromised. Where we can, we'll tell you first and give you a chance to fix it.

7The helpers and your responsibility#

Quill: In short: Our drafts are suggestions. You approve what's sent, and if you let a helper send a kind of email on its own, you're responsible for what it sends.

Rookery's helpers (Scout, Quill and Fetch) use AI models to sort mail, draft replies, check documents and flag possible scams. AI can be wrong. Drafts are suggestions, scam warnings are signals and not guarantees, and document checks can accept a wrong file or turn down a right one.

By default, nothing a helper writes is sent until a person approves it. Owners and admins can let a helper send certain kinds of email on its own, within the checks described in our help pages. If your workspace enables that, you're responsible for the email sent under it, as if you had sent it yourself.

You're responsible for reviewing drafts before you approve them, and for what you send from the Service.

8Your content#

In shortYour mail and files belong to you. You give us permission to handle them only so we can run Rookery for you.

"Your content" means the email, files, notes, playbooks and other data you or your workspace put into the Service, or that others send to your workspace. You keep all rights in your content.

You give us a limited, worldwide, non-exclusive licence to host, copy, process, transmit and display your content only as needed to provide, secure and support the Service for you, as described in our Privacy policy. We don't sell your content, use it for advertising, or use it to train AI models.

You confirm you have the rights you need to put your content into the Service and to have us process it.

9The API, MCP and your agents#

In shortKeys you create act for your workspace. What an agent does with your key counts as what you did.

Owners and admins can create API keys for the REST API and the MCP server. Each key acts as a named agent in your workspace, with the permissions chosen when it was made.

Anything done with a key, by you, your software or an AI agent you connect, is done on your behalf, and you're responsible for it as if you'd done it yourself. Keep keys secret, give each the least permission it needs, and revoke a key you no longer trust.

We may change or limit the API and MCP server, with reasonable notice for changes that break them, except where we must act to protect the Service.

10Other services and Connections#

In shortIf you connect another service, its own terms apply too. Connections are coming soon.

The Service may let you use or connect services we don't run, such as an AI model provider you choose to allow, or an agent you connect. Connections to accounting, CRM and other tools are coming soon. Those services are governed by their own terms and privacy policies, and we're not responsible for them.

11Availability, changes and support#

In shortWe'll keep Rookery running and tell you about changes that matter. Write to us and a person will answer.

We aim to keep the Service available and to fix problems quickly, but there may be planned maintenance and unplanned outages.

We may change the Service. If a change materially reduces what your paid plan includes, we'll tell you in advance and you may cancel.

Support is by email at hello@userookery.com. A person reads every message, and during early access we aim to reply within 2 working days.

12Ending the agreement#

Scout: In short: You can leave at any time. Today, export and deletion are by request to us; self-serve export and delete are coming.

You can stop using the Service and close your account or workspace at any time.

We may suspend or end your access if you seriously or repeatedly break these terms, if we must by law, or if we stop offering the Service. Except in urgent cases, we'll give you notice and a chance to fix the problem.

Your data when it ends. Self-serve export and deletion are coming soon. Until then, a workspace owner can ask us at hello@userookery.com for a copy of the workspace's mail and files, or to delete it. After an account or workspace ends, we'll keep your content for 30 days so you can ask for a copy, then delete it, except where the law requires us to keep something longer.

Sections that by their nature should survive the end of this agreement do, including your content, disclaimers, limits of liability, indemnity and governing law.

13Disclaimers and limits of liability#

In shortWe'll do our best, but we can't promise perfection, and our liability is limited as the law allows.

To the extent the law allows, the Service is provided without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose and non-infringement.

To the extent the law allows, neither party is liable to the other for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising from these terms or the Service. Each party's total liability arising from these terms or the Service is limited to the greater of the fees you paid us in the 12 months before the claim and US$100.

These limits don't apply to liability for fraud or wilful misconduct, or to anything the law doesn't allow us to limit, such as death or personal injury caused by negligence. If you're a consumer, you keep your statutory rights.

14Indemnity#

In shortIf someone makes a claim against us because of what you sent or how you used Rookery, you'll cover it.

If you use the Service for a business, you'll defend and indemnify us against third-party claims, and the resulting losses and reasonable costs, arising from your content, your breach of the Acceptable use rules, or your breach of law in using the Service.

15Governing law and disputes#

In shortWe'd always rather talk it through first.

If you have a dispute with us, please write to hello@userookery.com first, so we can try to sort it out informally within 30 days.

We'll name the governing law and courts here when Rookery's company is formed, before billing starts. Until then, early access is free and provided as described in Early access.

16Changes to these terms#

In shortIf we change these terms in a way that matters, we'll tell you before it takes effect.

We may update these terms. For changes that materially affect you, we'll tell you by email or in the app at least 30 days before they take effect, unless the change is required by law or to address an urgent security risk. If you keep using the Service after a change takes effect, the new terms apply. If you don't agree, you can stop using the Service before then.

The version and date at the top of this page show which terms are current.
