Notification emails and the daily digest
Rookery tells you when something is yours by name: a teammate mentions you, a conversation is given to you, or a draft waits for your yes. You see it on Your turn in the app. When you're not in Rookery, it can come to you by email too, and a daily digest covers the days you're away.
Set it all under Settings → Notifications.
Which emails you get
Under Email, tick what you want, then click Save. All four are on until you turn them off:
- Someone mentions you in a note.
- A conversation is given to you, by a teammate, or by Rookery when it hands one to you with a question.
- A draft waits for your yes: Rookery's draft, or a teammate's reply sent for approval, on a conversation you have or asked Rookery about. If nobody has the conversation, nobody is emailed, so the whole team never gets one.
- A conversation you have is overdue: when it has waited longer than its inbox's reply goal. This starts once your inboxes have reply goals.
You're never emailed about something you did yourself.
When an email comes, and when it doesn't
An email waits about 5 minutes after it happens. Anything else of the same kind in those minutes comes in the same email, so a busy morning of mentions is one email, not ten.
Rookery checks again just before sending. The email doesn't go if, by then:
- you've seen it in Rookery: you opened the conversation, you have it open in a tab, or the note that mentions you was on your screen;
- it's dealt with: you answered the mention or said Got it, the conversation went to someone else or is done, or the draft was approved or sent back;
- you can no longer see it, for example the inbox was made private to someone else.
During your Quiet hours (on the same page), emails wait and go when quiet hours end, if they're still needed then.
What an email says
Each email is short: who did what, one line, the conversation's subject and who it's with, and a button that opens the exact place: the note that mentions you, the draft, or their newest email.
- The line is only something your team or Rookery wrote: the note, or the start of the draft. Nothing from the customer's email is copied in except their name and the subject, and links, email addresses and long numbers are left out.
- On a conversation marked confidential, the email shows its subject only: no names, no note and no draft.
- On a conversation Rookery flagged as a possible scam, the email doesn't show who it's from or its subject.
- There are no pictures and nothing that tracks whether you opened it.
- Replies to these emails aren't read. Open Rookery to answer.
The daily digest
Under Daily digest, choose when it comes, then click Save:
- When I haven't opened Rookery for a day (the default): it comes only after a day away, so nothing waits unseen.
- Every day.
- Never.
Pick the hour in At. It uses your time zone, the one in Settings → Just me. The digest lists what's waiting for your yes, anything overdue, conversations given to you and mentions you haven't dealt with, the same as Your turn. It's never sent on a day when nothing is waiting, and you get one a day at most. During quiet hours it waits until they end.
Turn an email off from the email
Every notification email ends with a link that turns off just that kind (for example Turn off mention emails), and Manage notifications, which opens Settings → Notifications. The turn-off link works without signing in. Your mail app's own Unsubscribe button does the same. You can turn it back on from the same page or in Settings.
If your emails stop
If notification emails can't be delivered to your address, or one is marked as spam, Rookery stops sending them. Settings → Notifications says so. Once it's fixed, click Turn them back on.
On your phone or computer
Notifications on a device (a phone's lock screen, a desktop alert) are set on each device, under Settings → Your account → This device. See Fast pages, offline, and a shared computer.
