Next steps at the end of a conversation

At the end of a conversation, above Reply and Add a note, you'll see Next steps. These are the two to four things you're most likely to do next, like drafting a reply or offering times to meet. The helpers get them ready as they read each new email.

Use a next step

  1. Open a conversation and scroll to the end.
  2. Under Next steps, pick the one you want. Each has a small rook to show which helper suggested it.
  3. It opens something for you to check first: a draft, a form or a picker. Nothing is sent, filed or snoozed until you say so.

To see why a step is there, point at it or move to it with Tab. A short line says why, like "Dana asked to talk Thursday."

What each one opens

  • Draft a reply: Quill writes a draft. It waits for your yes, like any draft.
  • Draft a nudge: when they haven't replied in a while, Quill writes a short follow-up for your yes.
  • Offer times: opens Offer times with some free times already ticked.
  • Request documents: opens the request form with the documents they mentioned already listed. Change anything before you send it.
  • Add to Bills: asks once, then puts the invoice on Bills as due. Fetch reads the amount and the due date. Nothing is paid.
  • Snooze until a day: opens Snooze with the day they gave at the top.
  • Assign: opens the Assign list.
  • Track promise: when they say they'll do something by a day, it opens Remind me with that day at the top. If they reply first, the reminder goes away.

Done and Snooze are always at the end, in grey. They work the same as the buttons at the top of the conversation.

On mail Scout is holding

If Scout is holding an email, or flagged it as a possible scam, you only see It's safe (or It's not a scam), Block sender and Report. Each one asks you first. Quill never drafts a reply here.

Report gives you a copy of the email to send to your bank, or whoever it pretends to be. Rookery doesn't send it anywhere.

Use the keyboard

Press 1, 2, 3 or 4 to open the matching step. The number is shown on each one. Keys don't work while you're typing.

Good to know

  • The steps change when a new email comes in from them. Notes, tags and people looking at the conversation don't change them.
  • If the email is about money or a sign-in, like bank details or a code, there's no Draft a reply. Write that reply yourself.
  • If your team never uses a kind of step, it moves to the back after it's been suggested 20 times.
  • The steps come from simple rules first, and from Scout's reading of the email. Scout reads each email once; the steps don't add another reading.
