In a team inbox, a conversation is with a person or Up for grabs. When Rookery writes a reply, the reply waits for one person's yes: the person on point. It's their turn, and in their Needs your yes. Everyone else sees it with them.

Take it, or assign it

  1. On a row in Up for grabs, click Take it. It's yours, and your turn when they write.
  2. Or open the conversation, click Assign (or the name of whoever has it), and pick a teammate. It becomes their turn, and they get a notification.
  3. Pick Unassign to put it back in Up for grabs.

You can only assign someone who can use that inbox. A private inbox is only ever its owner's.

Who's on point

When Rookery drafts a reply, someone answers for it. The person on point is:

  1. whoever has the conversation, if someone does;
  2. else whoever handed it to Rookery;
  3. else the inbox's person on point, chosen in Settings → Inboxes;
  4. else the inbox's owner, then the workspace's owner, then an admin.

On a private inbox, it's always its owner. Only someone who can reply in the inbox can be on point.

The row says who: Rookery drafted · Sam approves. For Sam, it's Your turn with Draft ready. For everyone else it's with Sam, so one draft is in one list. Anyone who can reply can still open it and approve it.

To choose an inbox's person on point, open Settings → Inboxes, find the inbox and pick someone under Person on point. You need to manage the inbox. Conversations Rookery is already working on keep the person they have.

Hand a conversation to Rookery

Assign it to Rookery, like a teammate. Rookery works on it, and you stay on point: what it writes comes back to you for a yes. It shows in With Rookery until there's something for you.

With Rookery

With Rookery, in the sidebar, lists only what Rookery is doing now, each with its person on point:

  • Stuck, first and in yellow: Rookery asked a question nobody has answered, or couldn't finish a reply. The person it asked has it as Your turn with Rookery asked you. Anyone can click Take it from Rookery to make it theirs. The sidebar shows how many are stuck.
  • Drafting a reply: Rookery is writing one now.
  • Chasing documents: Rookery is collecting documents someone asked for.
  • Keeping a promise: Rookery has the follow-up you promised ready for its day.
  • Waiting on them: you handed it to Rookery, and Rookery wrote last.

Click Mine to see only what you're on point for.

Reading new mail isn't a task. While Rookery reads a new email, its row says Rookery is reading… for a moment, and the conversation's history says what Rookery made of it.
