Search everything you can see
Search finds anything you can see in Rookery: conversations, people, companies, documents and inboxes. Start in ⌘K (Ctrl+K on Windows) to jump straight to one thing, or open the Search page to see every result and narrow it down.
Find something from ⌘K
- Press
⌘K, or click Search or jump in the sidebar. On your phone, tap the search icon. - Type a few words: part of a name, a subject, an invoice number, a company.
- Results arrive in groups as you type: Conversations, People, Companies, Documents, Inboxes, Settings and places like Today. The words that matched are marked.
- Press
Enterto open the top row:- When one result clearly matches best, it's the Top hit, and
Enteropens it. - When nothing stands out, the top row is All results, and
Enteropens the Search page. - When you type a question, the top row is Ask Rookery. See Ask Rookery a question.
- When one result clearly matches best, it's the Top hit, and
- Use
↑and↓to pick another row.⇧Enter(Shift+Enter) always opens all results.
With nothing typed, ⌘K shows Jump back: the things you opened from search lately, and your Recent searches. Press ⌘K twice to go straight back to the last one.
Narrow it down on the Search page
The Search page lists every result, best match first, with the line that matched. Under the box are filters:
- From: mail from someone, by name or address.
- Inbox: one inbox you can see.
- Assigned: you, nobody, Rookery, or a teammate.
- Status: open, waiting, snoozed or done.
- Date: today, the last 7 days, the last 30 days or the last 12 months.
- Has attachment: only conversations with a file.
Click a filter to pick a value. Once it's on, it shows what it's set to; click it to change it, or × to take it off. All, Conversations, People, Companies, Documents and Inboxes show one kind of result at a time.
Use j and k to move through the results and Enter to open one. Opened from Search, a conversation or a person shows Search at the top as the way back.
Type filters instead
You can type filters into either box, and they become the same filters:
from:danaorfrom:acme.examplein:support(an inbox's name)assignee:me,assignee:nobody, or a teammate's nameis:open,is:waiting,is:snoozed,is:donehas:attachmentdate:today,date:week,date:month,date:yeartype:people,type:companies,type:documents,type:inboxes,type:conversations
A few plain phrases work too: assigned to me, last week, this month, this year and with an attachment. "from dana" becomes a filter when Dana is someone you write with. If you meant the words themselves, click Search the words instead.
What search looks at
- Mail: the subject, the sender and the whole message. Words match from their start, so "inv" finds "invoice".
- Documents: the file's name and its text.
- People and companies: names and addresses, for people in mail you can see.
Who can see what
Search shows only what you could open yourself. It searches every team inbox you can see and your own private inbox. A teammate's private inbox, and an inbox you haven't been given, are never searched, and a filter that names one finds nothing. Workspace owners and admins don't see other people's private mail in search either.
Mail in Trash stays out of search. When nothing matches, the page offers to look in Trash.
What you opened and searched for is remembered on this device only, for 30 days, for Jump back and Recent searches. It's never sent anywhere, and it's cleared when who can see an inbox changes.
