Before and after a meeting
Every meeting in Rookery starts in a conversation. Before it, Rookery shows what you need from that conversation. After it, Quill drafts the follow-up from your notes, and it waits for your yes.
The prep card
Thirty minutes before a meeting, its Prep opens by itself on Today, and a Before the meeting card shows at the top of its conversation. You can open Prep on Today or in the Calendar's Day view at any time before that.
It shows, from that meeting's conversation only:
- Quill's one line about where things stand, like "Last time: they asked “Do you do wholesale pricing?”; you promised to send the PDF."
- their time, when it's different from yours;
- the last three messages, one line each;
- documents you asked for, and which are still missing;
- follow-ups on either side: what you promised, and what they owe you;
- bills from them you haven't paid;
- your notes from the last meeting in that conversation.
Quill's line is put together from what's already in the conversation, by rules. No AI reads your mail to make the card.
Your notes
- Open the meeting's Prep (or Notes once it's over) on Today, in the Day view under Prep and notes, or on its conversation.
- Type what you agreed and who does what, during the call or after it. Short lines are fine: "Send pricing Friday".
- Tap Save notes.
Only you see your notes. Rookery never records or transcribes a call.
When a line in your notes is something you'll do by a day, Rookery offers to track it: Track: send pricing · Fri. Tap Track it and it becomes a follow-up you owe, which comes back on its day as Promised today. Tap Not this to leave it.
The follow-up draft
- Half an hour after a meeting ends, or as soon as you tap Happened, Quill drafts a follow-up in that conversation: thanks, what you agreed, and who does what next.
- Quill uses only your notes and the conversation. Anything they don't say, like a price or a date, is left as a blank for you to fill in.
- The meeting's card says "Quill drafted a follow-up from your notes." The draft waits in the conversation and in Needs your yes. Nothing goes out until you approve it.
- Changed your notes after Quill wrote it? Tap Redraft from my notes. If you already edited the draft, Quill leaves it alone.
Quill drafts once per meeting, and never on mail Scout is holding or has flagged. If you're already writing a reply, Quill's draft goes beside yours as a suggestion instead.
If they didn't come
- Once the meeting has started, tap Didn't come. For a booking, this also stops its reminders.
- Quill asks if you'd like a kind note. Tap Draft it.
- Quill writes a short "sorry we missed each other" and adds up to three free times from your calendar, each a link that books it. The times are held only once you send it.
If Quill had already drafted a follow-up nobody changed, it's taken away.
Turn it off for an inbox
Owners and admins can choose what Quill does after a meeting, per inbox, in Settings → Helpers, under After a meeting: Draft for my yes or Do nothing. Quill never sends a follow-up on its own.
Good to know
- The cards are only for meetings on your own calendar, in conversations you can open. A meeting whose conversation is in someone else's private inbox shows without any of it.
- A meeting that ended in the last few hours stays on Today, quietly, so its notes are one tap away.
