Booking links in a reply, and Ask to move
Two ways to settle a time from inside a conversation. Offer times is "pick one of these three". A booking link in a reply is "pick any time that suits you". Ask to move offers new times for a meeting that's already booked.
Send a booking link in a reply
- In your reply, type
/and pick Booking link: Intro call (one line for each of your booking links). If you have no booking link yet, pick Booking link and it uses a 30-minute call in your working hours. - A line goes in at the cursor: "Pick a time that suits you (Intro call, 30 min)", with the link. Write around it as you like.
- Send the reply.
The link is made for this conversation:
- It books into this conversation. The booking, the invite and their reminders all land in the thread you sent it from, even if the booking link usually puts bookings in another inbox. The invite comes from this conversation's address.
- It's filled in for them. When they pick a time, their name and email are already there.
- It's good for one booking, or 14 days after you send, whichever comes first. After that the page says the link was used or ran out, and shows neither their name nor their address.
- It never waits for your yes. Even if the booking link asks you first, a link you sent this person books straight away, as times you offer do.
- It doesn't need a public page. The 30-minute call you get with no booking link of your own has no page anyone else can find.
At the top of the conversation, a line says "You sent a booking link for Intro call, good for one booking until Sun 25 Oct". Turn it off stops the link at once: anyone who opens it sees that it isn't valid.
If they forward it, whoever books with it still books into this conversation, and the line in the thread says which address booked, like "Sam Lee booked “Intro call” from the link sent here, with another address: sam@elsewhere.example".
If you undo the reply, the link goes back to your draft, and its 14 days start again when you send. In a reply sent as a secure link, the menu puts in your booking page's own link instead.
Ask to move a meeting
When something comes up, ask them to move it instead of cancelling.
- Open the meeting's conversation. At the top, the Booked card shows the meeting and its time. Click Ask to move.
- Offer times opens over your reply, with the meeting's length and their time zone. Tick up to six new times and click Add … times to the reply.
- The reply starts with "Could we move Intro call from Thu 15 Oct, 10:00? It stays booked until you pick a new time." and lists the times. Change the words if you like, and send.
What happens next:
- The new times are held for 2 working days, like any times you offer. The card says "You asked Ana to move it. New times are held until Tue 13 Oct".
- The meeting stays booked where it is until they pick. Nobody loses the meeting if they don't answer.
- When they pick a time, they tap Move it here. The same meeting moves: it keeps its length, they get the updated invite, and the thread says they moved it. There's nothing to fill in, and no second booking.
- If they move or cancel it another way first, the new times stop being held.
Only the meeting's host (or one of its hosts) sees Ask to move. It shows until 30 minutes before the meeting, when the prep card takes over. Ask to move uses Offer times, which comes with Pro.
