Send as your own domain
An inbox can send as an address at your own domain, like support@yourcompany.com, while your mail stays where it is. The people you write to see your address, and your domain signs every email, so it lands like mail from you.
Owners and admins set it up, once per domain. After that, any inbox can use an address there.
Set it up
- In Settings → Inboxes, find the inbox and click Set up next to Send as your domain.
- Enter the address to send as, like
support@yourcompany.com. For an inbox that's forwarded from that address, it's filled in already. - Click Set up. Rookery gets your domain ready and shows the records to add.
- Add the records where you manage your domain's DNS (your registrar or DNS host). Each one has a Copy button for its name and its value.
- Wait for Verified, then click Turn on sending. The inbox now says Sending as your domain.
The records
Two records sign your email. Both are CNAME records:
| Name | Points to |
|---|---|
rookery1._domainkey | rookery1.yourcompany.com.onrookery.com |
rookery2._domainkey | rookery2.yourcompany.com.onrookery.com |
The first one signs your email now. The second keeps a spare signing key ready, so Rookery can change keys later without asking you to touch DNS again. Copy the exact values from the page: they include your domain.
Most DNS editors want only the part before your domain in Name (rookery1._domainkey). If yours asks for the full name, use rookery1._domainkey.yourcompany.com.
On Cloudflare: set each record to DNS only (the grey cloud), not Proxied. A proxied record can't be read as a signature.
DMARC
If your domain has no DMARC record, the page suggests one: a TXT record named _dmarc with the value v=DMARC1; p=none;. It tells mail services your domain signs its email, and with p=none it only watches, so nothing gets blocked. It's recommended, not required. If you already have a DMARC record, Rookery shows it and leaves it alone.
While Rookery checks
- The page shows each record as Found, Not found yet or Points somewhere else.
- Records usually show up within an hour, sometimes up to a day. Rookery checks by itself, often at first and then every few hours, for three days. Click Check now any time.
- After three days without the records, Rookery stops checking by itself. Add them and click Check now to start again.
- Once verified, Rookery checks once a day. If a record is taken away, sending as your domain stops and the page says Waiting for records again, so nothing goes out unsigned.
Sending
With Sending as your domain on, the composer's From starts on your domain's address, and says Sends as support@yourcompany.com, signed by your own domain. You can still pick the inbox's Rookery address in From for any email.
- Their replies come back to this inbox. If the inbox is forwarded from that address, they reply to it as usual and your mailbox forwards it here. If not, the email's Reply-To is the inbox's Rookery address.
- If an email can't go as your domain, Rookery doesn't send it another way. The email shows why, with Try again, and you can pick your Rookery address instead.
Bounces and spam complaints
- An address that bounces (it doesn't exist, or its mail server says no for good) shows This address bounced on the email in the conversation. Rookery won't send to it again from your workspace, whichever address you send from.
- If someone marks your email as spam, Rookery won't send to that address again either, and says so on the email.
- If many recent emails are marked as spam, sending as your domain pauses for the whole workspace, to protect your domain's reputation. The domain's page says so. Write to hello@userookery.com: Rookery's team turns it back on once you've found what caused it, and can help you look.
Stop or remove
On the inbox's Send as your domain page:
- Turn off: emails from the inbox go from its Rookery address again. It keeps the address, so Turn on sending brings it back.
- Forget this address: the inbox stops sending as it and forgets it. The domain stays set up for other inboxes.
- Change the address: another address at the same domain, or one at a new domain (which is set up the same way).
- Remove yourcompany.com…: takes the domain out of Rookery. Every inbox using it goes back to its Rookery address. You can then delete the records, or keep them to set it up again later.
Each change is recorded in Settings → Activity.
