# Who has what

Every open conversation sits with whoever has the next move, counted once. You, teammates, up for grabs, Rookery, or the people you wait on.

Getting started · Updated October 18, 2026 · https://userookery.com/help/who-has-what/

**Who has what** answers one question for everything that's open: whose move is it? Each conversation sits with exactly one holder, whoever has the next move, and it's counted once.

Open it from the sidebar, or press `g` then `v`. On a phone it's under **More**. It's there for everyone, even if you use Rookery on your own.

## The five holders

The tiles at the top are the holders, always in this order. Click one, or press `1` to `5`, to list everything it holds. Press the same number again, or click the tile again, to go back.

1. **You**: their reply waiting on you, a teammate asking you something in a note, a promise of yours, and Rookery's drafts waiting for your yes.
2. **Teammates**: what sits with each of the others, added up.
3. **Up for grabs**: nobody has it yet. Mail handed to a [group](https://userookery.com/help/groups/) is up for grabs in that group, like **Billing 3 · Support 2**.
4. **Rookery**: what Rookery is drafting right now, and mail it [held for a look](https://userookery.com/help/why-rookery-held-an-email/).
5. **Waiting on others**: you wrote last, so it's their move. Replies they owe, documents or a yes you asked for, and promises they made, like **Dana owes you**.

On your own, you see three: **You**, **Rookery** and **Waiting on others**. The day a teammate joins, **Teammates** and **Up for grabs** appear. Nothing else moves.

## Where each conversation sits

Rookery puts each conversation with whoever has the next move:

- **Rookery's draft is ready**: with the person who approves it (whoever has the conversation, or the person on point). The row is marked **Draft ready** and says who approves.
- **Rookery is writing a reply**: with Rookery.
- **You promised something** in a reply ("I'll send the quote by Friday"): with you, until you keep it. The row says **You promised**, then **Promised today** on the day.
- **You wrote last**: in **Waiting on others**, tagged with whose it is, like **Maya's**.
- **Someone has it**: with them.
- **Handed to a group, and nobody has taken it**: up for grabs in that group.
- **Nobody has it**: up for grabs. On your own, it's simply yours.

A teammate's question in a note is also on their list, as **Mentioned you**.

## The page, top to bottom

- **Due first**: what's about to slip, wherever it sits. Overdue first, then **At risk**, then the soonest. The clock is your inbox's [reply targets](https://userookery.com/help/reply-targets/), or a promise's day. **Show more** lists them all.
- **Up for grabs**: by group, oldest first.
- **Your move**: your part of it. **Open Your turn** opens the same work in the inbox.
- **Waiting on others**: what needs a look first: **Gone quiet** (no reply in 3 working days) and **Their date passed**. **Rookery is chasing** means an Ask's reminders are going out for you, with how many documents are in, like **Documents: 2 of 3 in**. **Dana owes you** is a promise of theirs you tracked from **Next steps** (**Track promise**), with what they said they'd do.

Beside the work:

- **People**, you first, then A to Z. Each shows their to-do, what they're waiting on from others, and a band: **Light**, **Steady** or **Full**.
- **Rookery**: drafting now, held for a look, and the drafts waiting for a yes, by who approves them.
- **Groups**: who's in each, how many are up for grabs there, and what's overdue or at risk in it.
- **Promises**: what you owe people, and what they owe you: promises you tracked, and reminders you set.

## Move work from the page

Each row has one move, the obvious next step:

- **Take it**: it's yours. If someone else has it, Rookery asks first: **Take it from Maya?**
- **Hand to…**: give it to a teammate, a group or Rookery, with a note. The list shows each person's band, so you can see who has room. See [Hand to a teammate](https://userookery.com/help/hand-to/).
- **Approve and send**: read Rookery's draft right there, then send it as written, or **Open to edit**.
- **Nudge**: on something that's gone quiet, Rookery drafts a short, polite follow-up. It waits for your yes.
- **Got it**: a teammate's question in a note, dealt with. It leaves your list.
- **Reply** and **Open** go to the conversation.

On a phone, swipe a row to the left for **Take it** and **Hand to**.

### Who can move what

- **Everyone** can take any row (with the question first when someone has it), and hand on their own rows, what's up for grabs, and what they're waiting on.
- **Owners, admins and an inbox's managers** can hand on anything (in the inboxes they manage, for managers), and **Rebalance**: click **Rebalance**, tick rows across people, then **Hand to…**.
- When someone is **away**, their list says so. Owners and admins (or they themselves, before they go) can hand all of it on at once with **Hand their 5 to…**.

## Light, Steady and Full

A band compares one person's to-do with an even share of the team's. **Full** means more than one and a half times an even share, and at least 8. **Light** means under half. Anything between is **Steady**. People who are [away](https://userookery.com/help/hand-to/#when-someone-is-greyed-out) say **Away** instead, and don't count toward the even share.

Who has what never shows how late anyone is. Overdue and at risk are shown on conversations and on groups, never added up for a person.

## One person's list

Click someone under **People** to open their list beside the page. On a narrower screen it slides over the page. The address is theirs, like `/team/work/…`, so you can share it.

- **To do** comes first, soonest due at the top. Then **Waiting on others**, with what needs a look first.
- **Show what they replied in lately** adds the conversations they replied in during the last 90 days that someone else has now.
- **Search all, Done included** opens the [Search page](https://userookery.com/help/search/) with the same person filled in.
- Press `Esc`, or click ✕, to close it.

## Keys

- `j` and `k` move through the rows, and `Enter` opens one. An opened conversation shows where it is, like "3 of 18".
- `1` to `5` pick a holder (`1` to `3` on your own).
- `x` selects the row you're on, `⇧H` hands it (or everything selected) on, and `a` takes it. On your own row, `a` hands it on. `Esc` clears what's selected.
- `h` is still **Snooze** everywhere else; nothing snoozes here.
- `g` then `v` opens Who has what from anywhere.

## Filter by group

If your team has [groups](https://userookery.com/help/groups/), pick one at the top, like **Billing**. Everything on the page then counts only that group's queue and the work of the people in it.

## Privacy

Who has what only counts what you can see yourself. A teammate's [private inbox](https://userookery.com/help/private-inbox/) never shows, not even as a number. An inbox open only to some people counts only for them.

Your own private mail shows in your **You** and **Waiting on others**, marked **Private · only you see this**. It never counts in anyone else's view, in the team's totals, or in your band.
