# Done is your archive, Trash is for deleting

Done keeps mail for good and searchable. Delete moves a conversation or one email to Trash, where you can restore it for 30 days before it's gone for good.

Getting started · Updated October 11, 2026 · https://userookery.com/help/trash/

**Done is your archive.** When a conversation is handled, press **Done** (`e`). It leaves the inbox and waits in **Done**, kept for good, and search and Ask Rookery still find it. A new reply brings it back. Most mail belongs there.

**Delete** is for mail you don't want at all. It goes to **Trash**, where it stays for 30 days in case you change your mind. After that it's gone for good.

## Delete a conversation

1. Open the conversation.
2. Press **Delete** in the bar at the top, or press `#`. On a phone, **Delete conversation** is at the end of the thread, under the next steps.
3. It moves to Trash, and you go on to the next conversation, like Done. **Undo** (or `z`) brings it straight back.

Rookery asks first only when there's something to decide:

- **Receipts, bills or orders in Kept came from it.** Choose **Keep them** (the default) and they stay in Kept, even after the mail is gone for good. Choose **Delete them too** and they go to Trash with it.
- **An Ask is still open, or a booking is still ahead.** They stay. An Ask stays open on the person's page, but no reminder goes while the mail is in Trash. A booking stays on the calendar.

A conversation with a reply scheduled or on its way can't be deleted until you cancel it or it's sent.

## Delete one email

Open the email's **⋯** menu and choose **Delete this email**. It leaves the thread, and the rest of the conversation stays where it is. The thread says how many of its emails are in Trash. Deleting the only email in a conversation deletes the conversation.

## While it's in Trash

Mail in Trash is out of everything: the inbox and every count, search, Today, your daily brief, People, Ask Rookery, the helpers' work, and any export made after you deleted it. Nobody can reply to it.

**Trash** is in the sidebar under **Set aside**. Each row says who deleted it, when, and the day it goes for good. Open a conversation to read it, then **Restore** it. It comes back as it was: same inbox, same status, same tags.

A new email in reply to something in Trash starts a new conversation.

## Gone for good

After 30 days, Rookery deletes it for good: the emails, their attachments and files, its notes and history, and what Ask Rookery learned from it. A file that another email still uses is kept for that email.

Asks, bookings and follow-ups made from it stay, without the email.

To delete sooner, whoever manages the inbox can choose **Delete for good** on one item, or **Empty Trash now** at the top of Trash. Both say first that it can't be undone.

## Who can do what

- **A private inbox:** its owner deletes, restores and empties Trash. Nobody else sees what's in it, in Trash or anywhere.
- **A team inbox:** anyone who can reply there can delete and restore. Only owners and admins empty Trash or delete for good.

Every delete, restore and empty is in the workspace's history, like "Maya deleted a conversation with Dana". It never records what the mail said.

## Delete everything from someone

When someone asks you to erase what you hold about them, open their page in **People** and choose **Delete everything from and with Dana…** at the bottom. Every conversation with them, and every email from or to them in other conversations, goes to Trash in the inboxes you manage. Owners and admins see this for team inboxes, and you see it for your own private inbox. After the usual 30 days it's gone for good.

## Clean up on its own

In **Settings → Inboxes**, whoever manages an inbox can turn on, for that inbox:

- **Move kept-out mail to Trash after 30 days:** mail from senders you kept out in **New senders**.
- **Move blocked scams to Trash after 30 days:** mail Scout held as a scam that nobody said was safe.

Both are off until you turn them on. Mail moved this way waits in Trash for 30 days like anything else.
