# Team reports

See how the team's mail went: what came in, how fast it was answered, who handled it and what Rookery did. For owners and admins.

Getting started · Updated October 17, 2026 · https://userookery.com/help/reports/

**Reports** show how the team's mail went over a stretch of days: how much came in, how soon it was answered, who answered it, and what Rookery drafted, sent and filed. Use it for a weekly look or a monthly review.

Only workspace owners and admins have **Reports**, in the sidebar under **Teach and set up**.

## Pick the days and the inbox

1. Open **Reports**.
2. Pick **7 days**, **30 days** or **90 days**, or **Custom** to choose a **From** and **To** date (up to a year, ending today at the latest), then **Show these days**.
3. Pick an inbox from the list, or leave **All team inboxes**.
4. If your team has [groups](https://userookery.com/help/groups/), pick one beside the inbox to see only its members under **People**, with the group's replies, conversations closed and first reply added up. **Everyone** shows the whole team.

Days run midnight to midnight in your own time zone. The page's address keeps your choices, so you can bookmark a report or send its link to another admin.

## What's on it

- **Volume:** new conversations, replies sent and conversations closed, with a bar for each day or week (**By day**, **By week**). Point at a bar, or use the arrow keys on the bars, to read its number. The ink line at the end of the bars is now: today's bar is still filling.
- **Speed:** for conversations that started in those days, the median, and the time 9 in 10 were within.
  - **First reply** counts from their first email to the first email sent back, whether a person wrote it or Rookery sent it. It also says how many still wait for a first reply.
  - **Time to close** runs from the start to the first time someone marked it **Done** after a reply. Mail filed away on arrival doesn't count here.
  - **Replied within target:** of the replies that had a [reply target](https://userookery.com/help/reply-targets/), how many went before they were due.
  - Times are in each inbox's [business hours](https://userookery.com/help/reply-targets/#business-hours), the same working time its reply targets use: an email that came in on Friday evening and was answered at 10:00 on Monday took an hour, not a weekend. An inbox open around the clock counts every hour.
- **By inbox:** the same numbers for each team inbox, with its share of replies within target, when you're looking at all of them.
- **People:** each teammate, by name, with their replies, the conversations they closed, the median of their first replies, how many of Rookery's drafts they approved, and how many of their replies were within target. A first reply counts as theirs when they wrote it or said yes to Rookery's draft. Plain bars, in alphabetical order, with no ranking. **Who has what**, beside it, shows what each teammate has open right now.
- **Rookery's share:** how many of Rookery's drafts went out as written, how many were edited first, and how many were sent back; the replies Rookery sent on its own (where you allowed that); and the emails it filed itself, like receipts, notices and mail you said needs no reply. A bar shows who wrote what went out: people, Rookery's draft with a person's yes, Rookery on its own, or outside apps. These are counts. Rookery doesn't guess at minutes saved.

## Export it

Click **Export CSV** for the same days and inbox as a spreadsheet: one number a line, with the section (Total, Day, Inbox, Person, Group when you picked one, or Rookery), the name, the date, what it measures and the value. Times are in hours, to one decimal, and replied within target is a count and a percentage.

## Who and what is counted

- Reports count only what you can see yourself. Another member's [private inbox](https://userookery.com/help/private-inbox/) is never counted or named, not even for the owner.
- An inbox open only to [people on its list](https://userookery.com/help/who-can-use-an-inbox/) counts only if you're on that list, by name or through a group you're in. Leave the group and it stops counting for you at once.
- **All team inboxes** leaves out private inboxes, yours included. Pick your own private inbox from the list to see it on its own.
- Mail in [Trash](https://userookery.com/help/trash/) isn't counted.
- **Closed** counts each conversation once a day, however many times it was closed and reopened.
