# Kept: your bills, receipts, orders and more

Fetch keeps track of the bills, receipts, orders and subscriptions in your mail, so you can see what's due, what's arriving and what renews in one place.

"Did the milk order ship?" "When does Canvasly renew?" "Which email was the bill in?" **Kept** answers those. When a bill, a receipt, an order or a subscription arrives, Fetch reads who it's from, the amount, the order or invoice number and the dates that matter, and keeps it in one list. Every item links back to the email it came from.

## See what's kept

1. Open **Kept** in the sidebar, under **Kept for you**. On a phone, it's under **More**.
2. Items are grouped by what needs you, not by kind:
   - **Needs you**: overdue bills, and deliveries that need you (a missed delivery, a parcel to pick up).
   - **This week**: bills due, deliveries arriving and subscriptions renewing in the next 7 days.
   - **Later**: further out, or with no date yet.
   - **Recently**: what was paid, delivered or cancelled in the last 30 days, and new receipts.
3. Each row shows who it's from, what it is, the date that matters ("Due Fri 16 Oct", "Shipped · arrives tomorrow", "Renews Sun 1 Nov") and the amount, with links to the **Email** and, for bills and receipts that came as a file, the **File**.
4. Pick **Bills**, **Receipts**, **Orders** or **Subscriptions** above the list to see only that kind. Search by a shop's name, an order or invoice number, or a tracking number.

## One order, from confirmation to your door

An order's emails become one item: the confirmation, "shipped", "out for delivery" and "delivered". Fetch matches them by the tracking number, or by the order number from the same shop, in the same inbox. The status moves with each new email, and a new delivery date replaces the old one. Tracking comes only from the emails you get; Rookery doesn't look parcels up with a carrier.

## In the conversation, on Today and on a company's page

- **In the conversation**, a **Kept** card sits above the emails: the order's steps (**Ordered**, **Shipped**, **Out for delivery**, **Delivered**), the date that matters, the carrier and tracking number, and which email said so. **Carrier page** opens the carrier's own tracking page. Rookery builds that link from the carrier and the number; it never uses a link from the email. A subscription's card shows when it renews; a bill's card shows when it's due, with **Mark paid**.
- **On Today**, a delivery that needs you is a card, and **Coming up** lists what arrives or renews in the next three days. See [Today](https://userookery.com/help/today/).
- **On a company's page** (open one from **People**), **Kept** sums it up, like "2 orders this month · 1 arriving today · 1 bill due ($279.08) · last paid Wed 9 Sep", with what's still open. **See all in Kept** shows everything from them.

## Mark things

- **Mark paid** on a bill when you've paid it. **Not paid yet** puts it back. In a conversation you opened from **Kept**, **Mark paid** takes you on to the next one in the list, and after the last, back to Kept.
- **Mark delivered** on an order that arrived without a "delivered" email. **Not delivered** undoes it.
- **Mark cancelled** on a subscription you've cancelled with the company. **Still active** undoes it. Rookery never cancels anything for you.
- **Not a bill**, **Not an order**, **Not a receipt** or **Not a subscription** if Fetch got it wrong. It leaves the list, and later emails about the same thing stay out too.

Your choice stands until a newer email says otherwise, like a renewal receipt for a subscription you marked cancelled. Each mark shows in the conversation's history, with who made it.

## Receipts for your accountant

1. On **Kept**, click **Export receipts**.
2. Pick a **Period**: this or last month, quarter or year.
3. Click **Download CSV** for a spreadsheet, or **Download ZIP** for the spreadsheet and each receipt's file.

The spreadsheet lists each receipt and paid bill with its date, vendor, description, reference, amount and currency, the file's name in the ZIP, and a link back to the email. It includes what you can see: the team's inboxes and your own private one. It's made when you ask and goes straight to your computer; Rookery doesn't keep a copy. A very large ZIP asks you to pick a shorter period.

## A scam check that knows your orders

Package scams pretend to be a carrier ("We missed you, pay a small fee to redeliver"). When an email says it's from a carrier, or that a delivery failed, Scout checks it against the orders Kept knows in that inbox. If none of them mention that carrier, tracking number or order number, Scout warns you: "This says DHL, but none of your orders mention DHL." Such an email is never kept as an order. ## Who sees what

- Items from a team inbox are seen by the team, like the mail itself.
- Items from your [private inbox](https://userookery.com/help/private-inbox/) are yours alone: in Kept, in counts and on Today.
- Deleting a conversation deletes what was kept from it.

## Privacy, and turning it off

- Fetch reads only emails that look like a bill, a receipt, an order or a subscription (from shops, carriers and billing), on Cloudflare's own models. It never sends them to an outside AI company, whatever your plan.
- Many emails need no AI at all: order details built into the email, calendar files and tracking numbers are read by Rookery's own code.
- Fetch never reads mail Scout flagged or is holding, or mail from a sender still waiting in **New senders**. So a scam's fake "order" never becomes a Kept item.
- To stop it, go to **Settings → Helpers**, untick **Keep track of bills, receipts, orders and subscriptions** under Fetch, and save. Only owners and admins can change it. What's already kept stays.

## Good to know

- **Bills** is one kind of Kept. The **Bills** link and `g b` open Kept showing only bills. See [Keep track of your bills](https://userookery.com/help/bills/).
- `g r` opens Kept.
- The number next to **Kept** in the sidebar counts bills due within a week and deliveries that need you.
- Kept is on every plan.
