# Teach Quill how you write

In about two minutes, set up your voice card so Quill's drafts sound like you: your greeting, your sign-off, how long and how warm. Every step can be skipped.

Quill drafts replies from the conversation and your team's playbooks. Your voice card tells it how *you* write, so the drafts you send sound like you, not like a template. It's a few short lines you can read and change, like "Short paragraphs" or "Signs off “Thanks, Priya”".

## Set it up

1. Go to **Settings**, then **Just me**.
2. Under **How you write**, click **Teach Quill how you write**.

You can also start from the line under one of Quill's drafts: **Want Quill to sound more like you? Two minutes.** Click **Teach Quill**.

There are four steps. Click **Skip this step** on any of them.

### 1. Learn from what you've sent

Click **Learn from what I've sent**. Quill reads your last 50 sent replies, the ones you wrote or changed, and writes a few lines on how you write. Read them, change or remove any line that isn't you, then click **Keep these**.

Only those lines are kept, never copies of your mail. Quill's drafts that you sent without changing aren't read: those are Quill's words, not yours. If you've sent fewer than 5 replies from Rookery, this step is skipped and says why.

### 2. Which sounds more like you?

Quill shows two short emails for five everyday moments, like saying no to a refund or chasing a late document. Each pair differs in one way: how formal, how long, how warm, how direct, or exclamation marks and emoji. Click the one that sounds more like you, or **Either is fine**.

### 3. Your words

Fill in any of these:

- **Your usual greeting**, like "Hi [name],". [name] becomes their first name.
- **Your sign-off**, like "Thanks, Priya". Your signature still goes under it.
- **Phrases you often use** and **Phrases you never use**, like "per my last email". One to a line.
- **Languages you write in**, the one you use most first.

Click **Save and go on**.

### 4. Try it

Quill drafts a reply to one of your recent emails in your voice. If there's nothing to reply to yet, it uses a made-up email. Then:

- Click **Sounds like me** if it does.
- Or click **Too formal**, **Too casual**, **Too long** or **Too stiff**. Quill changes your card to match and writes it again.

This is only a try: nothing is sent from here.

## When Quill uses it

Quill follows your card for drafts you'll send: drafts you ask for, drafts in your private inboxes, drafts on conversations assigned to you, and **Start with Quill** in the composer.

In a team inbox, your team's playbooks still decide what a reply says. Your card only changes how it sounds.

If you've written to someone before, Quill also opens and signs off the way you did with them, like "Hey Dana," instead of "Hi Dana,". It works this out from your sent mail each time it drafts, and keeps nothing new.

## Quill learns from your edits, but asks first

When you change Quill's drafts the same way again and again, like cutting the first line or changing "Dear" to "Hi", Quill asks you once while you edit the next one. For example: "You usually cut my first line. Keep drafts shorter?" Click **Yes** to add it to your card, or **No**. Either way, it won't ask about that again. Quill never changes your card without asking.

## Change or delete it

Go to **Settings**, then **Just me**. Under **How you write**:

- Click **Change it** to go through the steps again.
- Click **Delete it**, then **Delete it** again, to remove your card. Quill goes back to writing in the team's voice. This can't be undone.

## Good to know

- Your card is yours. Your teammates' drafts don't use it.
- It's in your export from **Take your mail with you**, as `how-you-write.txt`.
- It's never used to train AI.
